(Improving a Process)

Tell me about a time you improved an inefficient process.
During a student conference, I noticed that our review process for event materials was taking much longer than necessary.
What was causing the delay?
[Situation] Our team was preparing speaker introductions, schedules, and promotional materials, and each document was being reviewed by several team members separately.
[Task] Because feedback came at different times and sometimes conflicted, we were making repeated revisions and falling behind schedule.
[Action] I suggested assigning one reviewer for content and one for formatting, with a single deadline for consolidated feedback. We also agreed on a short checklist of what each reviewer should check.
[Result] The number of revision rounds dropped from an average of three to one or two, and we were able to finalize the remaining materials much faster.
How did you know that the process itself was the problem?

I noticed that most delays weren't caused by the actual work. They happened while we were waiting for feedback or resolving overlapping comments. That made me realize the workflow needed to be simplified.
What did you learn from that experience?
I learned that improving efficiency doesn't always mean working faster. Sometimes the better solution is to remove unnecessary steps and make responsibilities clearer.

How do you make your work more efficient?
What do you do when a task takes longer than expected?
 Medium
Tell me about a time you simplified a process.
How do you identify inefficiencies in a workflow?
 Advanced
How do you improve efficiency without sacrificing quality?
 Easy
I look for repetitive or unnecessary steps and ask whether they can be simplified without affecting the quality of the work.
I try to identify where the delay is happening before simply working faster. Sometimes the problem is the process rather than the task itself.
 Medium
During an event project, I simplified our review process by assigning clear reviewers and combining feedback into one round instead of collecting comments separately.
I look at where work repeatedly slows down, gets duplicated, or requires unnecessary back-and-forth. Those points often reveal where the process can be improved.
 Advanced
I distinguish between steps that protect quality and steps that simply add time. I try to remove duplication while keeping the checks that are necessary for a reliable result.
"streamline a process"
I suggested a way to streamline the review process."
  • enlightenedInterview Strategy
  •  Don't : I tried to finish everything faster.
  •  Better : I streamlined the review process by reducing unnecessary revision rounds.
"identify a bottleneck"
I identified the feedback stage as the main bottleneck."
  • enlightenedInterview Strategy
  •  Don't : The process was too slow.
  •  Better : I looked at where the delays were occurring and identified the review stage as the main bottleneck.
"eliminate unnecessary steps"
We eliminated unnecessary steps without reducing the quality of the review."
  • enlightenedInterview Strategy
  •  Don't : We skipped some steps to save time.
  •  Better : We eliminated unnecessary steps while keeping the essential quality checks in place.
(Biological Sciences)
  • "During a laboratory project, our team spent a lot of time searching for samples because the storage labels were inconsistent. I suggested a standardized labeling system based on experiment type and date, which made samples much easier to locate."
(Hospitality Management)
  • "During a university event, participant requests were being sent separately to several team members, which sometimes led to duplicate responses. I suggested routing all requests through one shared channel and assigning each request to one person."
(Industrial Design)
  • "During a design project, our team was repeatedly revising prototypes because feedback wasn't organized. I suggested grouping feedback into usability, appearance, and production categories before each revision."
